Financial software is only as good as the one number it gets wrong. So an import can’t touch your books until it adds up to the statement, every figure opens to the line it came from, and a month with nothing recorded says so instead of showing a zero.
It has to add up first
When you upload a statement, every line is read and added up, then compared to the total printed on the page. If it matches, it goes in. If it’s off by even a dollar, nothing is recorded — you see the difference and decide.
Every number shows its source
Any figure in your ledger can be traced. Click it and see the statement line it came from — the date, the amount, and who paid.
A gap looks like a gap
A month with no rent on record is flagged, not shown as zero — so a missing statement never looks like a tenant who didn’t pay. And when a tenant does come up short, it shows the month it happens.

No. RentStory works from the owner statements you already receive. There’s no login to share and no API to set up — your PM never has to be involved. Nothing to connect, no one to ask.
What if my properties are managed by more than one company?
That’s exactly who we built this for. Statements from different managers roll up into one portfolio P&L. Today, most owners have no way to see that combined view at all.
Which property managers do you support?
Any that send you an owner statement. AppFolio and Buildium statements are read against formats we know line by line. Anything else is read by the model and held for your review before a single number is written — we’d rather ask than get a number wrong.
How do I know the imported numbers are right?
Every imported statement is reconciled against its own totals — the line items have to sum to what the statement says. Anything that doesn’t add up is flagged for you to review before it touches your books. You confirm before it’s saved.
I self-manage some of my properties. Does that work?
Yes. Enter those by hand in the same dashboard. Manually entered and statement-imported properties share one set of metrics and one portfolio view — and nothing starts over if you later hand a property to a manager.
Does it know what my rent should be?
Each unit gets a market-rent estimate from public records when you add the property, shown beside the contract rent. It’s an estimate — edit it if it’s off. Properties get a value estimate the same way, which is what cap rate and equity are measured against.
Why doesn’t RentStory do deal analysis or underwriting?
On purpose. RentStory is the record of what your portfolio actually did — reconciled, sourced, and yours. Deal analysis is a different job: it runs on assumptions, ours runs on actuals. An accountant doesn’t also sell you the deal.

Because every door has a story — who moved in, what the rent was, what went short and what the statement says about why — and every number in it should keep its receipt. The ledger is the story told in figures.
